This article describes how to setup new items in Titan that were added directly into GDSN Connect. This process requires downloading multiple files from GDSN Connect that match to several import templates used in Titan. To finish the setup process, there is a separate report to manually add the missing weight values for the Units of Measure.  At the end of this process, the following steps will have been completed:

  • Create the new item record and assign the Identifier value (Step 2)
  • Configure the item as an Inventoried Unit and a Purchased Unit (Step 2)
  • Setup the Preferred Vendor and Price (Step 2)
  • Add the Preferred and Base Units of Measure (Step 2 and Step 5)
  • Configure the item as Ingredient and optionally as a Simple Recipe (Step 3)
  • Add Nutrients and Allergens (Step 3)
  • Add the Ingredient and Serving Size Units of Measures (Step 4 and Step 5)

NOTE: Titan uses the "Identifier" field to match to an existing item when importing the file. The Identifier appears in GDSN Connect as the "District Item ID" or "District Menu ID". If a record does not have an Identifier value (because it was added directly in GDSN Connect), then a new Identifier will be automatically created by GDSN Connect and added to the record in Titan in Step 1. Do not change that Identifier value in Titan, otherwise it won't match in GDSN Connect.

Export Files from GDSN Connect

Step 1: Download the files from GDSN Connect

On the Export Data page within GDSN Connect, verify that "Titan" and "New Items" are selected within the combo boxes at the top of the page.

Download each of the following four files from the Data Export page in GDSN Connect by selecting the appropriate radio button and then pressing "Download".  Save these files to a location on your computer that you can find them for the later steps (your browser may automatically save them to a preconfigured folder, such as Downloads).

Item Inventory

This generates a CSV file in the format of Titan's "Item Inventory" import template. This will add/update inventoried and purchased items in Titan, and add any new units of measure to existing records.

Item w/ Ingredients

This generates a CSV file in the format of Titan's "Item w/Ingredient" import template. This will add/update the nutrient and allergen information in Titan.

Ingredient Units of Measure

This generates a CSV file in the format of Titan's "Ingredients Unit of Measure" import template. This will add new Serving Size Units of Measure to any existing Ingredients.  GDNS Connect exports each of the following as a distinct Unit of Measure for each item:

  • Purchase Unit 
  • Inventory Unit
  • Ingredient / Serving Size

Unit of Measure Weights

This generates an Excel file that shows the Units of Measure with their weights for all the new items so that you can update the Units of Measure manually in Titan.

Import Files into Titan

Step 2: Import "Item Inventory" File in Titan

This will create a new item with basic information and set it up as an Inventoried and Purchased item, as well as create the Base Unit of Measure and Preferred Unit of Measure.  However, it will not setup the weight of the Base Unit of Measure, and that must be done manually in Step 5.

  1. In Titan, select Utilities > Data Import, and the select "Item Inventory" as the Import Template. Then press "Choose File" and select the approach file that you downloaded from GDSN Connect. 
  2. Verify that the column mapping names match.  If they do not, please submit a support ticket with a screenshot of this page and a copy of the file you uploaded.  
  3. Press "Start Import" button to start the import.  When this process is completed, you will receive a notification at the top of the page.
    • If you receive any error messages, please submit a support ticket with a copy of the error report and the file you uploaded.

Step 3: Import "Item w/ Ingredient" File in Titan

This will add the base weight, nutrients, and allergens for the items setup in Step 2, and it will also configure those items as Ingredients and optionally as a Simple Recipe. 

This is basically the same process as defined in the "Updating Existing Items" section in Titan > Importing Data into Titan.

  1. In Titan, select Utilities > Data Import, and the select "Item w/ Ingredients" as the Import Template. Then press "Choose File" and select the approach file that you downloaded from GDSN Connect.
  2. Verify that the column mapping names align.  If they do not, please submit a support ticket with a screenshot of this page and a copy of the file you uploaded. 
  3. Press "Start Import" button to start the import. 
  4. When this process is completed, you will receive a notification at the top of the page.
    • NOTE:  It is normal to see lots of error messages saying that the units of measure could not be updated because they already existed because they were already setup in Step 2.

Step 4: Import "Ingredients Unit of Measure" File in Titan

This will add any new Units of Measure for the Ingredients setup in Step 3 and will mark them as an Ingredient Unit of Measure (but not as a Serving Size Unit of Measure, which much be done manually in Step 5). It will also NOT update the Preferred or Base Units of Measure that were setup in Step 2, and will instead display these as errors after processing the item.  

  1. In Titan, select Utilities > Data Import, and the select "Ingredients Unit of Measure" as the Import Template. Then press "Choose File" and select the approach file that you downloaded from GDSN Connect.
  2. Verify that the column mapping names align.  If they do not, please submit a support ticket with a screenshot of this page and a copy of the file you uploaded. 
  3. Press "Start Import" button to start the import.  When this process is completed, you will receive a notification at the top of the page.
    • NOTE:  It is normal to see lots of error messages saying that the units of measure could not be updated because they were already setup in Step 2.

Step 5: Update Base Weights and Serving Size UOMs Manually using "Unit of Measure Weights" Report

Since the Item Inventory report does not add weights to the Base Unit of Measure from Step 2 or configure an Ingredient Unit of Measure as a Serving Size Unit of Measure from Step 4, you must configure this within Titan.  You can use the "Unit of Measure Weights" report as a guide for this information.  

Base Unit of Measure Weight:  You must add the Weight to this Unit of Measure.

Serving Size Unit of Measure:  If the item is placed directly on a menu, you may want to configure the Ingredient Unit of Measure as a Serving Size as well.

Because each item can be setup differently within each district, please use your best judgement to properly setup the Units of Measure as they are used within your district.  

  1. Open the UOM Weights New report in Excel to use as a reference.
  2. In Titan, you can easily see only the "New" items that were added by going to Items > Item Management and entering "n2f" in the filter. 
  3. Select the desired item to review, and then go to the Item Rights and Measures page
  4. Click on the Base Unit of Measure to display its information. Use the information from the Excel file for that item to populate the Weight value and unit and optionally the Measure value and unit.  If the item is also served directly on a menu, then you may want to also put a check in the Serving Size checkbox.
